Please read through these booking conditions carefully.

Price:

The price is as quoted on the booking form and/or invoice.

Price Includes:

Unless otherwise agreed, the price will include a combined training/ practice expedition and an assessed expedition. Adventure Plus (A+) will provide instructor(s) to supervise the group, admin support from a dedicated instructor, payment of campsite fees, a qualified assessor and provision of specialist equipment (canoes/ paddles/ buoyancy aids).

Booking Confirmation:

We request that one participant (or one responsible adult if the participants are under 18) takes responsibility for the booking; to secure the dates they will need to return a signed booking form. Then each participant must pay a deposit of 20% of the total booking price. This deposit is not refundable. Your booking is confirmed when A+ receives your signed Booking Form & each deposit has cleared at our bank.

Payment:

When you have confirmed dates you will be sent a link to pay through our website. You can either pay the full amount up front or make a deposit and balance payment. Full payment must be received in advance of your first expedition.

Dates:

Once dates have been agreed, and the deposit received, A+ are under no obligation to change the dates. If, in the event of unforeseen circumstances, you need to ask for a change of dates A+ will help where possible, depending on (e.g. staff and kit) availability. If a group requests a change of date and A+ has already committed to costs from third parties (e.g. campsites) the group would be required to cover these costs. If for whatever reason a group or group member fails to pass their assessed expedition, A+ are under no obligation to reassess that individual or group. Should they want to attempt another assessed expedition this would need to be a separate booking with further payment and would be subject to availability.

Numbers:

The number you book for on the booking form is the minimum number you will be charged for. Any additional participants will be charged at the agreed rate and will be subject to availability. The Duke of Edinburgh Award Scheme (DofE) stipulates that there must be a minimum of 4 people in an expedition group and a maximum of 7 (8 for canoeing). If for whatever reason a group should go below 4 participants, A+ will not be able to run the assessed expedition and will be under no obligation to help make up the numbers. In this situation groups can request to postpone and rearrange dates but A+ are under no obligation to accept this and any requests would be subject to availability and may result in additional charges.

Responsibilities:

A+ is an AAP and as such are registered with DofE to run the expeditionary (and at Gold Level the residential) phase of participants DofE programmes. We are responsible for the safety and supervision of groups on expeditions. However, in the spirit of the DofE, ultimate responsibility for ensuring the assessed expedition is completed satisfactorily lies with the participants. A+ will of course assist but it is each group’s responsibility to plan their assessed expedition; to make sure that the required admin has been done in time; to ensure that the expedition fulfills the 20 conditions and that they are of the required standard to undertake the assessed expedition.

Venue:

Typically, on the training and practice expedition, A+ will organise and book the campsites as required but on the assessed expedition, in the spirit of the DofE, the group will be responsible for organising their own campsites.

Catering:

All participants are expected to provide their own food and cooking equipment for the entirety of their stay. The DofE stipulate that groups have at least one cooked meal a day, prepared over fire or stove.

Transport:

Groups are expected to organise their own transport to and from expedition venues unless otherwise agreed.

Equipment:

Participants are asked to bring their own personal kit. This includes (but not exhaustively) tents, sleeping bags, rucksacks, walking shoes (or trainers), wet weather protection, cooking equipment and clothing. A+ can help provide some personal kit but there may be an additional charge to cover wear and tear. If the group are canoeing, A+ will provide canoes, paddles and buoyancy aids.

Safety:

Adventure activities are run by qualified instructors in line with government guidelines. In the interest of safety and everyone’s peace of mind, A+ reserves the right to cancel any activity without notice in the event of unforeseen circumstances (e.g. adverse weather or non-availability of an instructor). No refund will be given but every effort will be made to provide suitable alternative activities or dates. A+ is licensed with the Adventure Activities Licensing Service to provide specified activities under the following headings: climbing, trekking & water sports.

Cancellation:

If you cancel for whatever reason your deposit is not refundable. Refund of part or all of your final payment will only be considered if A+ is able to fill the booking with another paying group –however an administration charge would apply. You are also liable for third party costs (e.g. campsite fees) which A+ has committed to on your behalf. Except in the case of a “force majeure”, in the unlikely event that A+ have to cancel your booking any payments made to A+ will be refunded but we cannot assume responsibility for other expenses your group may have incurred.

Insurance:

A+ is covered for negligence and 3rd party injury during sessions that we run. As your group will be under supervision of A+ instructors at all times they will be covered under this policy but participants may want to consider taking out insurance which also covers against loss of possessions, illness, cancellation, personal injury and other risks.

Christian Ethos:

A+ is a registered charity with a clear Christian ethos. A+ reserves the right not to accept a booking from any group which seeks to promote an ideology, morality or lifestyle incompatible with our Christian purpose, in accordance with the exemptions in the Equality Act. A+ may require restrictions of behaviour/practice of the group during their visit.

Damage and/or loss:

The cost of any damage and/or loss caused by your group to persons, property, fixtures, fittings, fabric, vehicles and equipment will be the responsibility of your group. A returnable damage deposit of 5% of your total booking fee may be requested when you book. Please pay this by a separate cheque which will be returned after your booking.

Lost Property:

Lost property is kept for up to one month. It can either be collected from the A+ office or we will post it to you at your request. A handling fee of £5.00 (plus P&P) will apply. Larger items may incur a higher charge.
